Role:

The Wellness Administrator is an important part of the Benefits Team that develops, implements, and manages wellness programs that support the physical, mental, and emotional well-being of employees. This role fosters a culture of health and wellness, while supporting the Director of Benefits in managing our self-funded benefits program. The ideal person in this role has experience in benefits administration, strong organizational and communication skills, and a passion for enhancing employee well-being.

Min CompensationUSD $66,000.00/Yr. Max CompensationUSD $85,000.00/Yr. Responsibilities
  • Develops and implements wellness initiatives, programs, and events to improve employee health, reduce stress, and increase productivity (e.g., fitness challenges, health screenings, mental health awareness campaigns)
  • Ensures clear and effective communication of wellness initiatives, benefits updates, and policy changes, keeping all employees informed and engaged
  • Assists in managing wellness program budgets, ensuring cost-effective delivery and alignment with organizational goals and budget
  • Leads the design and ongoing engagement of wellness programs that support employee health, mitigate high-risk factors, and promote well-being
  • Monitors participation in wellness programs, gathering feedback to assess effectiveness and identify opportunities for improvement
  • Collaborates with the Director of Benefits to reduce costs and improve health outcomes on a self-funded benefit plan
  • Create monthly reporting to evaluate the financial well-being of the plan, high-risk claims and create actionable steps to reduce costs PEPM (per employee per month)
  • Partners with HR, Finance, and Senior Management to align wellness and benefits strategies with business objectives and budgetary considerations
  • Evaluates industry best practices and emerging wellness trends to continuously enhance the company's wellness offerings
  • Maintains confidential wellness data, ensuring compliance with privacy regulations (e.g., HIPAA)
  • Prepares reports on benefit utilization, program effectiveness, return on investment (ROI), and employee engagement in wellness initiatives
  • Administers employee benefit plans, including medical, dental, life, disability, supplemental plans, FSA, HSA, COBRA, and 401(k), ensuring compliance with legal requirements and promoting fairness across the organization
  • Collaborates with the Director of Benefits to manage open enrollment, company communications, new hire enrollments, and qualified life events, distributing educational materials to employees
  • Maintains relationships with vendors, brokers, and consultants to ensure high-quality service and support for employees
  • Supports compliance efforts by conducting audits of benefit plans and processes, ensuring adherence to regulations (e.g., ERISA, ACA, HIPAA)
  • Manages data integrity through enrollment audits and billing reconciliations, ensuring accurate reporting and tracking of benefits utilization
  • Maintains benefit records and updates employee information, ensuring data accuracy and compliance with company policies
  • Provides training and support to internal stakeholders on benefits policies and updates, ensuring effective communication and understanding of offerings
  • Assists with mergers & acquisitions, including data analysis, project management, and integration of employees into company systems and benefits
  • Resolves escalated employee claims and benefits concerns, ensuring timely and effective resolution
  • Analyzes internal processes for efficiency and recommends improvements to enhance the employee experience and streamline administration
  • Completes tasks and special projects as assigned, in a safe, accurate, thorough, and alert manner
  • Upholds Company policies and procedures
  • Works in a professional manner with managers, supervisors, coworkers, customers, and the public
  • Other related job duties as assigned
Qualifications
Required Knowledge, Skills, and Abilities:
  • Excellent analytical skills with the ability to manage data and generate reports
  • Strong interpersonal and communication skills for effective engagement with employees and vendors
  • Proven ability to plan, organize, and execute wellness programs and events
  • Expertise in organizational and time-management skills, with a track record of handling multiple projects simultaneously
  • Proficient in wellness program software, data tracking, and reporting tools, as well as benefits administration platforms (experience with UKG and Nectar a plus)
  • Collaborative team player with the ability to manage multiple priorities
  • Skilled at building relationships and fostering trust across departments and with external vendors
  • Expertise in designing innovative wellness programs that engage employees and meet company needs
  • Proficient in assessing program performance, analyzing data, and providing actionable insights for continuous improvement
  • In-depth knowledge of wellness program management, including health assessments, wellness challenges, and mental health initiatives
  • Demonstrated ability to work effectively with cross-functional teams (e.g., HR, Benefits, Finance)
  • Passionate about promoting employee health and well-being, and staying updated on wellness trends and best practices
  • Proficient in Microsoft Office, with advanced Excel skills (pivot tables, VLOOKUP, macros, formulas, etc.)
  • Adaptable and able to thrive in a dynamic, fast-paced environment
  • Strong initiative and the ability to complete tasks independently with minimal supervision
  • Exceptional attention to detail and organizational skills

Education and Experience:
  • Bachelor's Degree in Human Resources, Business Administration, or a related field.
  • Minimum 3+ years of experience in executing wellness strategies along with benefits administration preferably with self-funded benefit programs
  • Certified Employee Benefit Specialist (CEBS) or Professional in Human Resources (PHR), preferred
  • Strong knowledge of employee benefits laws and regulations (ERISA, ACA, HIPAA, etc.)
  • Experience working with wellness vendors, health coaches, and other external partners to coordinate program offerings
  • Experienced in maintaining confidentiality and handling sensitive health-related data with discretion
  • Previous experience in HVAC Industry or other service business preferred
Physical requirements:
  • Continuously able to work in office environment
  • Continuously able to operate a computer and other office productivity machinery, such as a copy machine, telephone, and computer printer
  • Continuously able to sit at a computer for up to 8 hours
  • Able to alternate between sitting and standing, as needed throughout the day
  • Occasionally able to lift up to 15 lbs.
  • Continuously requires vision, hearing, twisting, and talking
  • Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching
  • Rarely requires climbing
  • Ability to travel on occasion
Additional Eligibility Qualifications
  • Legal authorization to work in the U.S. is required. We will not sponsor individuals for employment visas.
  • Ability to travel nationwide as required to conduct safety inspections, up to 50%
  • Must be willing to work full time out of an office located in location of Job Posting. (This is not a Hybrid or Remote Role.)
