Job Description:


Budget Title: Senior Staff Assistant (SL-3)


Salary: $55,151 + (dependent on experience)


Binghamton University's Decker College of Nursing and Health Sciences, School of Nursing, located at the newly renovated, state-of-the art health sciences campus in Johnson City, New York, is hiring. The Senior Staff Assistant position is a full-time, campus-based, 12-month appointment.


The primary responsibility of the Senior Staff Assistant is to support faculty, staff, and students for effective and efficient operations of the School of Nursing (SoN) and supporting the SoN through the development and expansion of our Nursing Division. This position also serves as a representative of the program to other administrative units within the college and the university.


This position requires coordinating multiple, complex priorities in a demanding, fast-paced, high-profile environment. The successful candidate is expected to possess strong organizational skills and function with a high level of independence and leadership.

Responsibilities include:


  • Work collaboratively in a team environment with school, college, and university colleagues, including the Decker College Dean's Office, all divisions within the Decker College, the University Human Resources Office, the University's Communications & Marketing Office, University Graduate Admissions, the University Travel Office, various departments at the Binghamton Foundation, representatives from the Research Foundation of SUNY, and through support of various projects and initiatives through the Decker College office of Advising and Academic Excellence.
  • Provide accreditation oversight, preparation, and support including but not limited to monitoring databases of current and new faculty, students, alumni, employers, and advisory board members; sending survey requests; conducting interviews; and compiling accreditation report materials.
  • Provide oversight, coordination, and maintenance of faculty credential (licensure, CPR, etc.) tracking.
  • Assist with management of systems for organizing accreditation documents, records, and files including but not limited to course syllabi, faculty curriculum vitae, professional licenses, certifications, meeting minutes, exemplars of accreditation criteria, and other required documentary evidence.
  • Provide administrative support for Nursing program recruitment and enrollment, course registration, academic advising, and monitoring of student progression.
  • Continuously monitor faculty files, maintaining listing of credentials, licensure, and certifications.
  • In collaboration with Undergraduate and/or Graduate nursing program directors manage School of Nursing course building activities. including oversight and maintenance of databases for course building, course offerings, and course enrollments.
  • Provide direct oversight, maintenance, and support for newly developing programs including oversight and maintenance of databases for course building, course offerings, and course enrollments.
  • In collaboration with Administrative Assistants, provide administrative support for recruitment, interviewing, onboarding, and orientation of new faculty and staff.
  • Coordinate and manage data gathering for programmatic, university, state, federal, and ranking reports throughout the year.
  • Collaborate with Assistant Dean of Academics to ensure all required reporting is compiled and completed according to due dates.
  • Maintain up to date databases and files for CPR, background checks and other applicable clinical requirements of students for clinical education.
  • Provide support for the development and implementation of Benchworks surveys and analysis reports.
  • Provide support for transition and utilization of EXXAT program for student clinical requirements and reviews.
  • Oversee work study students and student/graduate assistants by serving as the supervisor of record, coordinating assigned tasks, monitoring performance of duties, and ensuring appropriate time record submission for hours worked.
  • In collaboration with Nursing Program Directors, provide administrative support for budgeting and accounting of the Nursing Division fiscal resources including but not limited to creating purchase orders, making purchases, and tracking payments; reconciling vouchers, receipts, and purchasing card; tracking and categorizing invoices, bills, and other expenditures; maintaining tracking system of contracts submitted to the university workflow for the Division of Nursing.
  • Coordinate and manage Division of Nursing faculty and staff travel which includes: preparing travel documents, completion and submission of authorization forms; processing post travel reimbursements, and ensuring compliance with Binghamton University financial policies and procedures.
  • Work in a professional and focused manner to schedule and prepare for internal and external meetings with various stakeholders including campus leadership, faculty and staff, industry and university partners, advisory board members and project teams.
  • Collaborates with Division/ISPC Directors and faculty to maintain updated Nursing cohort schedules.
  • Participate in professional development activities including orientation, annual training requirements, and technical skill building as well as other continuing education activities that support professional growth and programmatic quality improvement.
  • Maintain professional standards that ensure strict confidentiality of private records and all personal information.
  • Plan, organize, and implement, in coordination with Sigma Theta Tau honor society, the annual end of academic year Division of Nursing award ceremony. In collaboration with the DSoN student award committee ensure the Binghamton University Foundation is notified of award recipients, award payments are requested, and award certificates are created where appropriate.
  • Plan and implement all DSoN special events as required; and serve as support for all DCNHS events as appropriate.


Requirements:


  • Bachelor's degree and three or more years of related experience with office administration and customer service skills
  • Experience with business management tools including spreadsheets, word processing, calendar tools, and presentation software
  • Experience in course building using INB Banner system
  • Ability to communicate complex material effectively with a diverse group of individuals including faculty, staff, senior administrators, community partners, students, and visitors
  • Ability to manage multiple projects and timelines with a high degree of accuracy and efficiency
  • Ability to organize information and prioritize needs
  • Ability to work both independently and collaboratively
  • Strong professional, organizational, and interpersonal skills
  • Effective written and oral communication skills
  • Demonstrated ability to exercise sound judgment, and handle confidential matters with tact, discretion, and professionalism
  • Ability to train and supervise student/graduate assistants and undergraduate work study students
  • Ability to travel and work evenings and weekends on occasion

Preferred:


  • Master's degree in higher education, public administration, or another applicable field of study
  • At least two years of work experience in an administrative or higher education setting
  • Experience conducting program evaluation
  • Experience analyzing issues, presenting and overseeing problem resolution, and working collaboratively with numerous offices
  • Experience working in a clinical environment
