Job Information

Provide direct administrative support role to the sales management & filed sales team. Be a visible team player with positive energy in greeting and hosting dealers, customers and coordinating support of special events. Critical to success in this position is the candidate's ability to anticipate and meet the needs of the location's staff from a facilities and support standpoint.

This position is available as fully remote and available on-site in Buford, GA

Role & Responsibility

Administrative Support

  • Preparation of Internal and external sales correspondences for the sales team to include letters, memos, forms, policies, procedures including handling of confidential information
  • Work with management team to revise, develop & process routine quarterly promotions documents for distribution.
  • Salesforce Admin for NA and Dealer Teams
  • Sales Lead coordinator working with Marketing to qualify leads, enter in Salesforce and track to completion
  • Control dealer directory, formats, efficiency, routine updates & distribution. Support & manage routine reporting activities, distributions & working with others in the department for, field support routines and other projects as assigned by management in the support of the internal & field sales teams
  • Work with NAGS team on internal order support
  • Provide administrative support to include telephone coverage, e-mail monitoring, PowerPoint preparation, supplies control, excel spreadsheet preparations and all necessary communications internally and externally
  • Support NA department with needs for reports, presentation support, OE, backlog status, etc.
  • Work with management to develop new report routines, schedules and manage the routine flow of materials and data from analyst
  • Perform weekly UR report needs to UR Corp and internal account mgr
  • Perform Monthly UR open backlog and ship summary, including next month's ship forecast
  • Work with marketing on support materials, promo's, new dealer set up routines etc.
  • Manage schedule with all dept's for New Dealer onboarding & training
  • Manage 2nd VISIT follow up activities with new dealers and RBM's
  • Provide information &support package to new dealers
  • Provide COOP and other Sales policy information to new dealer
  • Work with other dealer to ensure a proper and positive on-boarding process
  • Support RBM dealer visit needs
  • Maintain organization of all routine Data and reports, with back up routines
  • Learn SAP, OE and stay fluent in researching open orders and backlog review support
  • Review COOP summaries and provide monthly summary to RBM's and DIVAC management
  • Maintain system and cloud organization of documents, reports and all related sales materials, dealer contracts etc. in an organized manner for team access & use
  • Prepare any special travel needs
  • Purchase requisitions and purchasing as needed
  • Prepare, schedule and organize complex activities such as meetings, travel, and sales department activities, routines, etc. as required
  • Create and develop visual presentations as requested using latest technologies and methods
  • Perform special Projects as assigned. Initial examples
  • Create dealer directory
  • Create and maintain Sales Policy manual
  • Create and maintain NA policy manual
Project Management
  • Perform special projects as assigned
  • Work independently and within the team on special and nonrecurring and ongoing projects
  • Act as a project manager for special projects, as assigned, which may include planning and coordinating multiple presentations, disseminating information, and organizing companywide events

Prioritization and Process Excellence
  • Develop administrative process to simplify departmental interaction with priority tasks
  • Create and maintain file and reference systems to optimize decision making process
  • Develop method to improve time management for the department
  • Predetermine critical tasks and appropriate actions


Job Requirement

  • Education Required: Associate degree
  • Experience Required: >5 years
  • Travel Required: < 10%
  • Ability to prioritize and meet deadlines
  • Ability to multi-task and proof own work
  • Excellent organizational and interpersonal skills
  • Proficient in Microsoft Office Suite, Strong power-point & excel skills
  • Pivot tables, V-Look up, Graphs, mapping, and charts
  • Excellent verbal and written communication
  • Basic computer skills
  • Ability to follow written instructions
The salary range for this position is $45,000 - $61,000, depending on experience and other factors.
