Job Summary

Perform the full range of specialized clerical and technical duties in support of the Outreach Team, Student Accessibility Services, and Advising as required.

Responsibilities

  • Receive incoming telephone calls; welcome visitors; assist in scheduling appointments, and direct callers and visitors to appropriate personnel; gather and organizing incoming documentation and distributing accommodation plans to faculty.
  • Act as the point of contact for High School Programs, including providing information to current high school students, Dual Enrollment teachers, and high school counselors on admissions, registration, residency documentation, attendance, and grades; aid in tracking and providing documents for High School programs including new Dual Enrollment Course Commitment Sheet, Intergovernmental Agreements, and Dual Enrollment rosters; monitors Dual Enrollment Outlook inbox.
  • Retrieve, receive, and compile data from several sources, compare information to verify its completeness and prepare informational and/or statistical reports detailing requisite data according to established guidelines; organize and transmit information electronically to other agencies and/or departments for processing as needed.
  • Assist Outreach Coordinators with materials needed for outreach events; manage SWAG inventory and complete purchase requisitions from approved vendors as requested; track and monitor office supplies/materials ordering necessary materials and supplies for program and office activities.
  • Maintain specialized databases, including REACH CRM; enter and retrieve data and ensure accuracy of database records. Create special forms, charts and reports using word processing, spreadsheet and database software.
  • Assists with logistics around event planning, including Vaquero Rally Days, New Student Registration Days, Counselor Breakfast, New Student Orientation, and others as needed
  • Provide support for Advising and Veterans Services by serving as a secondary point of contact, assisting with scheduling, inquires, and departmental functions as needed.
Qualifications

EDUCATION/EXPERIENCE: Associate degree (60 credit hours) and two (2) years related experience -or- four (4) years related experience in lieu of education.

Background Verification: As a condition of employment, all candidates accepting an offer of employment for a full-time, part- time, temporary, student worker, or volunteer position, will be required to undergo a Background Verification. Employment with Central Arizona College is contingent upon the successful completion of the background verification. The level the background verification for this position is: Standard level.

Knowledge, Skills, & Abilities

  • Knowledge of specific processes, procedures, and policies of office management and workflow procedures to include effective workload management (i.e., prioritization and organizing work).
  • Knowledge and skills of various word processing, spreadsheet, database, presentation, and integrated information software, systems, and associated hardware.
  • Knowledge and skill in Access, Quark, Publisher, Photoshop elements, basics of web design principles and other unique software.
  • Skill in data analysis, including gathering, compiling, and presenting information in oral and/or written form.
  • Effective communication skills, both oral and written; must have outstanding customer service skills.
  • Strong interpersonal skills as applied to interaction with culturally diverse populations, college administrators, faculty, staff, students, and members of the general public.
  • Strong ability to work independently and as a member of a team in accomplishing tasks, meeting deadlines, and achieving goals.
  • Ability to analyze situations and develop solutions using professional judgement and make independent decisions based on established guidelines.
  • Skill in processing a variety of financial and non-financial transactions, verify accuracy, match against documentation, code to proper account, prepare necessary forms or reports, post transactions, and reconcile and retrieve information as needed.
  • Knowledge and skills in the techniques of desktop publishing used in designing program brochures, marketing materials, flyers, advertisements and newsletters pertaining to the programs at the College.
  • Skill in developing, implementing and evaluating major publications, creating, composing, and editing written materials.
  • Knowledge and skill in the principles and practices of graphic design concepts and media placement, writing and editing principles and practices of marketing, basic photography, and coordination of multiple graphic production activities.

This is a pension system that requires mandatory contributions from the employee with a matching contribution from the employer. The 24-25 fiscal year contribution rate is 12.27%.
