Office Support Associate - Office of the Registrar

The Office of the Registrar is seeking an Office Support Associate to work within their Catalog Management & Section Scheduling (CMSS) unit. This position supports the production of the Academic Catalog, Class Schedule, and Final Exam Schedule including classroom assignments.

Duties & Responsibilities -

  • Assist with the Final Exam process. Generate semester-specific reporting and request forms to handle final exam requests. Enter Final Exams for the campus into the scheduling application AdAstra. Evaluate and resolve conflicts or other scheduling issues. Process final exam special requests (extra space, combines, conflict and arranged). Create building reports for specific locations to help establish building hours. Assist with on-call issues during the spring and fall final examination periods.
  • Respond to phone calls and emails in the Class Schedule and Academic Catalog inboxes.
  • Assist with the analysis of daily and term-based reports and the correction of errors related to section set-up and room assignments.
  • Assist with creating or managing section information in Banner to produce the Class Schedule.
  • Aid in processing electronic course proposals, which include new courses, deletions, and edits in Banner.
  • Assist with the documentation of standard processes and procedures.
  • Perform reception duties, providing standard or factual information. Refer telephone calls to appropriate units.
  • Other duties as assigned.
Required Qualifications -
  • High school diploma or equivalent.
  • Any one or combination totaling eighteen (18) months from the categories below:
    • College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one year (12 months)
      • Associate's degree (60 semester hours) equals eighteen (18) months
    • Work experience performing office/clerical activities, including the use of computer systems.
Preferred Qualifications -
  • Experience with university systems.
  • Demonstrated experience in a role requiring a high attention to detail.
  • Experience using Microsoft Office Suite with a primary focus in Outlook and Excel.
Knowledge, Skills and Abilities -
  • Ability to juggle multiple tasks concurrently while remaining calm and pleasant.
  • Strong customer service skills.
  • Ability to communicate effectively, via email and telephone, with a diverse group of people, including faculty, administrative staff, students, and the public.
  • Ability to develop a general knowledge of the more than 325 general purpose classrooms (capacity, physical layout of rooms, location in building, etc.).
  • Ability to quickly learn the facility preferences and needs of the teaching departments.
  • Ability to quickly learn how to use Banner and the Banner Catalog/Schedule application.
  • Existing knowledge of the location of campus buildings.
Appointment Information

This is a 100% full-time Civil Service 0846 - Office Support Associate position. The expected start date is as soon as possible after the close of the search. The collective bargaining agreement sets a wage of $36,901.80 annually ($18.924/hour). Sponsorship for work authorization is not available for this position.
