We are hiring for an Office Manager. We are going through a tremendous growth period that includes new construction, so the piece is very important. We have a development team who is working on the construction piece, but this person will be involved. Office layout and seating options will be a huge piece of this role during this busy time. THIS IS AN IN OFFICE ROLE, NO HYBRID OR REMOTE OPTION.

About This Role:

The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, seating charts and task delegation. Experienced in handling a wide range of administrative duties and able to work independently with little supervision. Well organized, flexible, and enjoys the administrative challenges of supporting a growing, and sometimes chaotic office of 400 plus employees.

Key Responsibilities:

  • Maintain a welcoming and professional first impression, managing the corporate receptionist.
  • Foster a positive work environment, speaking with and listening to teams throughout the building and raising any concerns
  • Ensure building standards are adhered to and bring any concerns to the attention of the Facilities Mgr.
  • Create communication plans to ensure all office employees are kept up to date with all necessary information.
  • Coordinate with Safety Council to schedule trainings and evacuation drills
  • Ensure the smooth and efficient operation of the office by recommending technology and automation alternatives to upgrade manual processes.
  • Maintain office layout and seating options utilizing Envoy and forecast in-office growth requirements.
  • Coordinate with maintenance and construction teams on office build outs
  • Identify opportunities for process and office management improvements, and design and implement new systems when necessary
  • Ensure office supplies inventory and place orders as necessary.
  • Place orders for weekly and adhoc lunches and other events
  • Provide back up support for EA's and assist with general administrative duties
  • Manage office expense budget and assure adherence.
Qualifications

  • Discretion and confidentiality
  • High School degree

Minimum Requirements:
  • 7+ years experience in an office management role
  • Excellent MS Office knowledge
