About the Position:

This role is an on-campus, in-person position.

This position functions as an administrative coordinator for district managers, director and other managerial persons within the OFPM. Quality auditing and monitoring or work flow as well as tracking metrics relating to this work are pivotal in helping to successfully provide services for the university.

This role assist with ensuring adherence to existing standard operating procedures, monitoring quality of workmanship and tracking the timely and satisfactory completion of maintenance related items within the current CMMS/IWMS/eBuilder.

This role also inspects and assists with assuring that best practices regarding craftsmanship are incorporated into completed assignments and that work orders are completed efficiently and effectively.

This role assists as needed with district maintenance administrative needs by providing exceptional customer service, interpersonal skills, planning and strong organizational skills along with strong computer literacy.

Essential Functions:

  • Workmanship end product quality analysis. Perform quality of work inspections of closed work orders for each district and closed work orders for each trade weekly. Must visit job sites to inspect work. Contact persons submitting work request after closure for follow up comments, satisfaction and input. Must complete quality of work interoffice surveys
  • District manager administrative assistance. Make appointments for technicians to enter into RLSH private residence/apartments to perform work. Ensure appointments are transcribed into STABLE for technicians & trades.Advise managers of set appointments. Advise managers, DBC's, Associate Director of any missed appointments with explanation via email. Assist managers with closing work orders
  • Assist district managers with lining up contractors and securing bids for new work. Follow up on disposition of cd's, fr's, etc. Assist with making arrangements for power, water, heating, steam, etc. disruptions with the appropriate DBC's. Provide documentation to Associate Director, managers and involved or affected third parties. Walk large scale jobs and assist as indicated by manager
  • Flips and turns, move in/out events assistance. Assist administratively, on site as needed. Walk buildings with RLSH and contractors. Build spreadsheets for tracking of project components. Contribute in monitoring hours and budgets providing updates to managers and directors.
  • General maintenance departments support. Assist warehouse with inventory events, audits, stock analysis, discretionary analysis of keep stock, etc. Track shop equipment issues through warehouse checkout and return process. Track repairs and status of equipment as needed. Assist with tracking of vehicular assignments, submit tickets for fleet repairs. Provide input as required for tracking purposes in STABLE. Follow through on building access issues for technical staff
  • Follow through with hiring process for candidates applying for open positions. Assist with
    initial contact and scheduling of interviews, follow up with candidate in and after offer of employment is decided upon. Assist with scheduling of technicians and tradesmen for weekend and holiday coverage, retaining schedules for reference. Compile weekly reports outlining district standings regarding work order status, volume and percentages of completion assigned.
  • Compile weekly reports regarding over 30 day old work orders. Provide compilation report of averages regarding amount of work orders completed by individuals, averages of times needed for successful completion of same work orders vs. time taken. Assist with tracking of PM program, perform administrative PM duties through STABLE such
    as change frequency, updating, adding or removing.
  • Compile spreadsheets for analysis of timelines (PM's). Track work orders generated by PM programs. Work with third parties as needed to provide access, schedule work, clearance for entry with DBC's and manager. Meet vendors as needed on site. Advise Director or progress for each PM. Schedule and attend meetings as requested. Administrative duties, field visits for project tracking.
  • Other assignments, duties as assigned


Qualifications

Education and Experience:

A high school degree or equivalent is required. Associate Degree or Facilities/Construction/Property/Maintenance Management related field is preferred.

A minimum of three (3) years of work experience is required. Candidate with facilities background and experience managing budgets is desired.

Knowledge, Skills and Abilities:

Candidate with administrative support familiarity with providing service to campus community is desired. Candidate must demonstrate the ability to effectively manage scheduling of events with multiple parties and follow direction. Candidate must be able to monitor and assist managers with reducing volume of long standing open work orders. Must also be proficient with Word, Outlook, Excel, OneNote, PowerPoint, CMMS/IWMS, etc.

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
