Job Summary:

To collaborate with the various CONHI Managers/Directors, Professors and Administrative Staff to make appropriate recommendations regarding human resource needs (such as APT, overage, and summer contracts) in a manner that aligns with university and college policies and priorities. Responsible for applying fundamental human resources practices and controls to a variety of college-level transactions. Must exercise independent thought, judgement, and attention to detail.

Essential Duties and Responsibilities:

Human Resources:

  • Faculty
Work with departments on Academic Professional Track faculty (APT) appointment letters, analyze workload spreadsheets for soundness and create appointment letters accordingly, route for signature, track and manage process for Business Services to ensure eForms route to completion. Support the Dean's office and leadership's needs for human resource processing and appointments. Provide back up to the HR Generalist.
  • Staff
Work with Managers/Directors for staff hiring, including recruiting, navigating PeopleAdmin and moving candidates through the process, collaborate with the Search Chair and Committee. Track and monitor to ensure university hiring guidelines are followed within the needs of the college. Initiate reference checks, employment verifications, criminal background checks and offer letters. Initiate eForms and track through the approval process to ensure completion. Work with hiring manager to ensure hiring manager checklist has been consistently followed and the department is ready for the new staff member.
  • Community Building
Work in partnership with the HR Generalist on establishing onboarding events, HR oriented trainings, and other workshops across the college.
  • Records
Lead coordinator to ensure all faculty and staff digital files are up to date. Scan as needed to ensure all documents are in an electronic format. Follow university retention policies.

Review & Reporting:
  • Create dashboards for HR vacancy tracking for both faculty and staff positions, from posting through start date.
  • Run regular queries for up to date staffing rosters, work in partnership with College Business Officer and data analyst for annual reporting needs.
  • Create tracking mechanisms to ensure all appointment letters are fully processed.

Customer Service and Team Work:
  • Manage Standard Operating Procedures assigned to ensure they are always up to date with university expectations.
  • Be fully engaged, collaborative, and respectful while being a fully participating voice of the business services team, working to create and maintain a collaborative, team oriented and supportive environment.
  • Explain/train University and CONHI policies and procedures to resolve routine questions and problems escalate questions and problems to the Manager as needed.
  • Work in partnership with faculty and staff to ensure that established processes are meeting their needs.
  • Excellent customer service is a must with a mindset of support and empowerment.
  • Maintain close working relationships with all CONHI team members, including faculty, management, and staff.

Other:
  • Assists in ensuring that special projects and tasks are completed.
  • Performs other duties as required.
  • Stays current on appropriate knowledge through training and keeping abreast of changing policies.
Minimum Qualifications:

  • Bachelors in business related field with two (2) years' administrative experience or in lieu of degree, five (5) year's administrative and Human Resource experience. proven initiative and problem solving.
  • Proven customer service skills and demonstrated ability to communicate and work with a broad range of people.
  • Solid attention to detail with organizational and prioritization skills.
Preferred Qualifications:

  • Bachelors degree in business related field with five (5) years of experience in higher education with HR, procurement, PeopleSoft experience and UTA systems.
Knowledge, Skills and Abilities:

  • Very detail oriented. Knowledge of general Human Resources operations.
  • Able to work quickly and effectively under pressure, use judgment in accomplishing tasks that are urgent or of a sensitive or confidential nature.
  • Seek out assistance with conflicting priorities, and follow establish business rules.
  • Appreciate and contribute to the overall team.
  • Demonstrate accountability in all work responsibilities.
  • Demonstrate proficiency with excel and word, and experience with other standard office programs.
  • Must be comfortable working in an environment where change in process/procedures is the norm.
  • Must be able to work independently while supporting the efforts of an overall team.
  • Willing to enhance personal knowledge, skills, and abilities as needed.
  • Adapt to changes in procedures and processes.
  • Be willing and able to successfully complete and maintain expert knowledge in uta systems.
Working Conditions:

  • Standard machines common to offices, knowledge of PC, CRT, and calculator.
  • Proficiency in all phases of the duties performed.
  • Employing department may require light typing.
  • Work in an office setting with working in a sitting position for possibly long periods of time.
  • Lift up to 10lbs.
