ANNOUNCEMENT OF POSITION VACANCY

This is a part-time, non-exempt, benefitted position.

SUMMARY : Under general supervision of the Assistant General Manager of Operations, the Operations Supervisor is responsible for leading an event set-up team ensuring that all conference rooms, etc. are set up based on contract specifications. The general responsibilities of the position include those listed below and will vary based upon a variety of factors including business necessity, location, and customer requests.

SOME OF THE THINGS THAT YOU WILL GET TO DO (this is just a small sampling of work variety):

  • Provides on-site supervision of facility operations and all events, programs and meetings within the Kellogg West Hotel & Conference Center, and Kellogg House, and leads a team of hospitality minded individuals to provide excellent customer service.
  • Leads and assists with setting, striking, and converting meeting room and event setups as needed. Provides feedback and instruction to staff to ensure all details are executed.
  • Ensures safety and security practices are followed for all facility occupants. Provides immediate response to situations, and communicates appropriately to safety officials.
  • Oversees the execution of daily operations of the events and guests' needs, including but not limited to audio-visual, and room setups, and at times custodial service.
  • Supervises staff and student employee schedules efficiently based on operating needs.
  • Responsible for recruiting, training, and retraining employees.
  • Collaborates with Enterprise Facilities to place, track and seek completion of all facility and preventative maintenance work orders.
  • Maintains facility equipment inventory, and ensures visual standards are met for all occupants and guests.
  • SUPERVISION : Responsible for the training of staff necessary to carry out effective operations of the area assigned, ensuring the team is well-trained and well-versed in responsibilities; directly supervises part time individuals, leads and crew members; assist in the supervision the activities of contracted staff providing services that may include A/V, room setups, custodial support, landscaping, trash collection, pest control, repairs and other facility services.
MINIMUM QUALIFICATIONS:
  • A minimum of three years related experience, preferably working in a college union or higher education conference center position responsible for performing the duties indicated above, including supervision of student employees.
  • At least one year of supervisory experience.
  • Knowledge of any event management software such as EMS, CaterTrax Rooms Manager, 25Live, etc.
  • Valid CA driver's license and insurance.
  • Strong communication skills and interpersonal skills.
  • Ability to interpret and apply policies and procedures to variety of situations.
  • Ability to be resourceful and to take initiative.
  • Ability to work cooperatively in a multi-ethnic environment.
  • Flexibility to adjust to changing schedules; open to new ideas and adaptable to changing technology.
  • Strong writing skills.
  • Ability to adhere to a regular work schedule, to include evenings and weekends.
PREFERRED QUALIFICATIONS:
  • Direct knowledge of and experience in facility and event management.
  • Experience in conference center hospitality and events services.
