Job Summary

The Assistant Director of Operations serves as an active member of the Booth Executive MBA team. This position will be responsible for the successful planning and execution of several program, community, and student-hosted events. This includes event planning, logistics, program operations, and coordination of activities and events for current and prospective students. This individual serves as an important resource to ensure an exceptional student experience and works closely with the Student Life and Program Operations teams in Hong Kong and London.

Responsibilities

  • Manages a myriad of student events for 75-250 participants, which entails developing and delivering timed student communications, onsite event management, and contract processing appropriately.
  • Assists with coordination, preparation, and delivery for flagship global student events, including Kick-Off Week, Elective Weeks, and graduation events for which students travel to Chicago from around the world.
  • Serves as point person for student-run events, which entails setting and managing student expectations, creating contracts for student events, and ensuring prompt payment of invoices.
  • Manages program operations, including handling maintenance requests, creating and maintaining listservs, and catering needs.
  • Creates, maintains, and updates Executive MBA Program Canvas sites.
  • Oversees numerous complex vendor relationships.
  • Answers student questions and resolves issues when possible, including, but not limited to, Kick-Off Week, elective course selection, campus transfers, information updates, schedule/logistics, and events.
  • Organizes current student social events including, but not limited to cross-cohort events, guest speakers, Elective Weeks events, Kick-Off Week events, and Graduation events.
  • Manages hotel accommodations for students traveling to Chicago worldwide. Because of the timing of our global events, this can involve multiple hotels simultaneously. The incumbent also manages bi-weekly airport transportation contracts and student-facing processes, on which students' timely campus arrivals and departures depend.
  • Coordinates and implements event logistics; researches and assists with vendor selection including negotiating vendor contracts, preparing event budgets, processing and reconciling expenses, and preparing financial reports.
  • Processes invoices and reimbursement payments.
  • Manages vital components of the class weekend experience such as catering, coordination with other relevant Booth departments, and other event logistics.
  • Serves as a resource for London and Hong Kong teams and leads necessary committees.
  • Assists in admissions yield efforts including, but not limited to yield events, phone calls to admitted students, admitted student gifts, buddy program, and admitted student inquiries.
  • Completes special projects and undertakes additional duties for the Executive MBA program and the broader Booth student-focused events as assigned, including graduation.
  • Coordinates with the students and staff to develop activities, programs, and initiatives related to student life, and/or community involvement. Develops and implements straightforward programming.
  • Markets student activities programming throughout the year. Develops and implements protocols for evaluating the effectiveness of programs.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Technical Skills or Knowledge:
  • Proficiency with computers, including MS Office and network functions.

  • A strong interest and capacity for working with students in providing academic counseling and support.
  • Excellent organizational skills.
  • Proven abilities to supervise projects and work on several projects simultaneously.
  • Consistently meet deadlines, problem-solve, exercise good judgment to make decisions, prioritize, and work under pressure during seasonal high volume.
  • Professional demeanor, including tact, discretion, and a customer service-oriented approach to the job.
  • Maintain confidentiality.
  • Outstanding interpersonal, verbal, and written communications skills.
  • Effectively communicate with faculty and administrators at all levels within the University.
  • Strong attention to detail for executing complex projects.
  • Creativity in conceiving systems to solve problems and resourcefulness in pulling the needed elements and people together to implement them.

Working Conditions
  • Work the following schedules - regular business hours, Monday- Friday, 8:00am-5:00 pm, when EMBA students are in session; hybrid staffing with remote work except for class weekends and when assigned by the Director; Flex hours as determined by the needs of programming.
  • Work some evenings, every other Saturday, and occasional Sundays.
