Department Information
University Enrollment Services (UES) supports the academic and student services missions of Indiana University by developing, coordinating, and managing university-wide shared services in the areas of admissions and transfer operations, financial aid, student records and data management, and military and veteran affairs. UES works closely with campus-based partners to enhance customer service; implement best practices; drive student-related technology development; comply with federal, state, and institutional guidelines; and support their overall enrollment and retention goals. This team uses data to identify new opportunities and to prioritize work, which drives innovation and creates efficiency across the University.
Job Summary
Department-Specific Responsibilities
- Performs administrative duties in support of the admissions process, including maintenance of admissions records, advising customers of admissions standards and required documentation, and performing an initial review of applications for admission.
- Reviews recommended decision for quality assurance and validation, utilizing the automated decisioning (PASS) available for first-year applicants. Corrects errors for resubmission to PASS process.
- Manages decision applications for all admit types other than first-year undergraduates, based on a campus-provided rubric.
- Maintains transfer credit workflow queues by completing and routing transfer credit reviews.
- Identifies transfer coursework requiring evaluation by college and/or department staff to determine transferability and equivalency.
- Submits course information through the transfer evaluation workflow for evaluation and monitor the status of requests.
- Maintains knowledge of Indiana University Transfer Credit Policies and Standards concerning the acceptance of transfer credit to apply working knowledge for processing. This includes verifying the accreditation status of the external institution, researching courses and institutions, and converting credit hours when necessary.
- Attends all required meetings with supported campuses and University Enrollment Services.
- Monitors admissions processing email accounts and respond to requests promptly.
General Responsibilities
- Oversees the processing and evaluation of all applications for admissions into that school and accompanying material, such as transcripts, to determine eligibility.
- Maintains records and databases of applications; updates and purges as necessary; gathers and collates information from records and prepares reports.
- Reviews applications for completeness, contacts applicants for any missing information or to resolve discrepancies, and obtains any necessary information from other sources.
- Schedules and oversees any applicant interviews.
- Makes recommendations regarding admissions and financial aid decisions; contacts applicant regarding the decision on the admission application.
- Responds to phone and email inquiries on admissions process and status of applications; may assist in the design of recruiting events and materials.
- Counsels potential students regarding courses and grades required for admission.
- May supervise temporary staff in the admissions office; monitors and evaluates job performance.
- Maintains files and databases on students admitted into the school; generates reports based on this information.
- May take on escalated and complex issues; may provide guidance to other admissions staff.

EDUCATION
Required- High school diploma or equivalent (such as HSED or GED)

Working Conditions / DemandsThis role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

This position is eligible to work a hybrid schedule (mix between 2 days of remote and 3 days of in-person work), subject to change in the future based on university policy and business needs.
