Job Summary

This is a shared position between the College of Professional Studies and the School of Education, housed within the College of Professional Studies. Shared responsibilities include processing eDocs and travel documents, maintaining files, and assisting with event preparation for both the College of Professional Studies and the School of Education. For the College of Professional Studies, this position manages the most complex office activities to achieve optimal utilization of equipment and employee productivity under minimal supervision.

Department-Specific Responsibilities / College of Professional Studies

  • Provides administrative support to the Dean.
  • Tracks expenses and processes budget expense controls.
  • Assists in fundraising efforts.
  • Assists in event preparation, i.e. logistics, catering
  • May assist with data collection as needed for annual statistics
  • May maintain confidential personnel files and organize/maintain electronic documents and resources related to college operations.
  • Assists with College level marketing efforts.
Department-Specific Responsibilities / School of Education
  • Provides administrative support to the Assistant Dean¿s Office
  • Serves as initial point of contact for the Assistant Dean¿s Office
  • Orders supplies and equipment
  • Tracks expenses and processes budget expense controls
  • Plans and organizes School-wide events in conjunction with other relevant offices
  • Arranges annual advisory committee meetings.
  • Assists with data collection as needed for program review and accreditation purposes.
  • Maintains confidential personnel files and organizes/maintains electronic documents and resources from school and committee meetings
General Responsibilities
  • Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.
  • Organizes office operations and procedures, such as creating Word or Excel files, bookkeeping, and preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other office services.
  • Oversees opening, sorting, and routing of incoming mail, answers correspondence and prepares outgoing mail.
  • Purchases and maintains office supplies and equipment, as well as budget expense control.
  • May allocates tasks and assignments to lower-level appointed staff and monitors their performance.
  • May be part of a team to select and train other staff.
  • May work on office projects engaging others to collaborate and accountable to see through to completion.
  • May perform other duties related to maintaining an internal website and/or working with social media.

Qualifications

Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED)
WORK EXPERIENCE

  • 4 years of relevant experience

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

$36,753.60 - $39,000.00 per year
