SUMMARY:
The University of Richmond's Weinstein Learning Center (WLC) is a centralized resource for student support in the areas of writing, public expression, academic skills, technology, quantitative and computational learning, and English language learning. The administrative coordinator will work with the operations specialist, executive director, center directors, faculty, staff, and student employees to help ensure quality academic support is accessible to all students at the University of Richmond. In collaboration with the operations specialist, executive director, and other Learning Center directors, the administrative coordinator will help institute and maintain operational systems and processes and facilitate the colocation and integration of existing and incoming student support services. We seek a highly motivated candidate with strong organizational and interpersonal skills. This position, under the supervision of the operations specialist, will support the day to day duties of the Weinstein Learning Center by assisting in student employee hiring and onboarding, front desk duties and student supervision, purchasing, and assisting in the coordination of events. The position is responsible for oversight of assigned project portfolios relating to a highly visible university-side Learning Center, engages multiple stakeholders across campus, and requires working independently and with minimal supervision.
RESPONSIBILITIES:
Provides planning, implementation, oversight, and follow-up for a range of Learning Center activities and initiatives.
Administrative Support
- Collaborates and communicates with campus partners, ensures appropriate follow-up, and facilitates resolution of pending matters.
- Provides and/or coordinates general office support, including records/Box management, processing standard accounting and HR forms.
- Facilitates and oversees data collection and reports to and from faculty members.
- Manages online evaluation system by developing, creating, distributing, and analyzing evaluations and surveys.
- Prepares internal- and external-facing reports.
- Assists with student, faculty, and UR community outreach.
- Assists with maintaining and updating webpages and other communications
- Assists in social media coordination, including supporting student employees responsible for content creation.
- Manages centralized email inbox in collaboration with operations specialist and executive director.
- Takes meeting notes and minutes during staff meetings
- Assists with Slate maintenance as well as other scheduling tools and procedures.
- Acts as back-up for providing calendar management for the Executive Director.
- Acts as back-up for arranging necessary travel for the Executive Director.
Budget and Financial - Purchases supplies, submits payment requests for services, and submits purchasing reports.
- Manages financial transactions and reconciles monthly budget reports.
- Maintains financial and operational records and submits hiring/termination/wage change forms.
Events - Assists with the planning, marketing, and set-up of Learning Center events, including working with University and outside vendors, and helping to schedule guest speakers/lecturers.
- Manages logistical requirements: venue, scheduling, technology, etc.
Student Support - Assists in supervising front desk duties, including the supervision of front desk student staff.
- Assists with scheduling, purchasing, and planning for student employee meetings/training sessions.
- Ensures Learning Center protocols are followed by students and student employees
- Ensures Student Employment protocols are followed.
- Assists with student hiring and onboarding for all Learning Center consultants.
QUALIFICATIONS: - Ability to collaborate with various campus units to produce and maintain mutually beneficial initiatives.

- Interest in and ability to learn peer tutoring processes.
- Ability to learn scheduling, payroll, and budget reconciliation processes.
- Thorough knowledge of Office 365/Microsoft Office, G Suite, and proficiency in Adobe Creative Cloud or similar software.
- Ability to learn BannerWeb, Chrome River, CSS/EMS Web App, and Cascade.
- Ability to interpret and apply University policies and procedures.
- Record of managing multiple projects and planning effectively to achieve both short and long-term goals.
- Record of working collectively with various stakeholders to find creative, research-based solutions and innovations.
- Ability to assess and categorize needs and effectively share findings with the appropriate stakeholders.
- Passion for academic student support.
EDUCATION & EXPERIENCE:
- High school diploma or GED; bachelor's degree preferred.
- Minimum of 2-3 years' experience in administrative roles required.
- Experience conducting and/or overseeing peer tutoring/mentoring preferred.
- Experience establishing new initiatives/programs preferred.
WORK HOURS: - Full-time, non-exempt position
- Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
SALARY STRUCTURE: Pay Grade 4 (Hiring Range $18.18 to $22.72 per hour)
